Turning a church office brain dump into a sorted task list

ChurchOffice administrationEffort: Medium

After the staff meeting, the church administrator records a short voice note of everything on her mind. An AI helper splits it into tasks, sorts them by area and drafts the emails. She approves each draft before it goes out.

What it is

You talk through your to-do list in a voice note. The helper turns it into separate tasks and starts the first drafts.

Who it is for

It fits church secretaries and administrators who juggle many small jobs for many people.

What you get

You get a sorted task list and email drafts that are ready for your review.

A real-life example

A church of about 200 people has one part-time administrator. After each staff meeting she leaves with a page of scribbled notes. Now she records a quick voice note on her phone in the parking lot. The helper sorts it into tasks for Sunday, youth and the building. It drafts the emails she would have typed, and she approves the right ones over lunch.

This is a made-up scenario. It does not describe a real organization.

How it works

  1. You: Record a voice note or type everything on your mind.
  2. The AI: Splits it into separate tasks.
  3. The AI: Sorts each task by area, such as Sunday, youth or building.
  4. The AI: Drafts emails and reminders for each task.
  5. You: Read every draft and fix names, dates and details.
  6. You: Approve what should be sent and mark tasks done yourself.

Time saved

Typical estimate

By hand: about 1 hour after each staff meeting.
With AI: about 20 minutes, plus your review.

These are rough guesses, not measured results. Your own times will vary.

Not sure where this goes: "call about the van." Which van, and who should be called?

What it involves

Tools / helper type
An AI helper that takes voice or typed notes and can draft email. Claude Duet from Anthropic is one option (early test, waitlist, paid Claude Pro or Max plan, US only, no Microsoft 365 yet). A general AI chat tool also works if you copy the drafts into email yourself.
Rough effort
Medium (Low = an afternoon or less; Medium = a few days with some setup; High = a project)

Who should look it over

Keep prayer requests, counseling notes and giving records out of it. Use the church office email account, not a pastor's personal inbox. Approve every message before it goes out, and check names and dates.
